How Baines Advisory uses your information

This notice explains what personal information I collect through this website and in my work, why I collect it and what your rights are. Last updated September 2026.

Who I am

Baines Advisory is the trading name of Caroline Baines, a sole trader based in Norfolk. I am the data controller for the personal information described here. You can contact me about anything in this notice at caroline@bainesadvisory.com.

What I collect

When you send an enquiry through the contact form, I collect your name, organisation, email address, phone number if you give it, the topic you choose and your message.

If you become a client, I also keep contact details for you and your colleagues, correspondence, and the records I need to deliver my services and to invoice you.

Please do not include personal information about people who use your services in an enquiry. If my work later requires access to that kind of information, we will agree in writing how it is handled.

Why I use it

  • To reply to your enquiry and discuss how I can help. The legal basis is my legitimate interest in responding to people who contact me, or taking steps at your request before entering into a contract.
  • To deliver services to clients. The legal basis is performing our contract.
  • To keep financial records. The legal basis is my legal obligation to keep accounts for HMRC.

I do not sell your information, and I do not use it for marketing lists.

Who else handles it

  • Netlify, Inc. hosts this website and receives contact form submissions. Netlify is based in the United States, and transfers are protected by the safeguards required under UK data protection law.
  • My email provider, and my accountant for financial records.

How long I keep it

If an enquiry does not lead to work, I delete it within 12 months. Client records and financial records are kept for six years after our work ends, in line with HMRC rules and the time limits for legal claims.

Cookies

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how it is used, and to receive it in a portable format. To use any of these rights, email me at the address above. I will respond within one month.

If you are unhappy with how I have handled your information, please contact me first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
